# Stop Following Up Like a Robot: How to Create Follow-Ups That Actually Get Answered

_“Do you have 5 minutes to catch up?” You’ve seen it. You’ve probably sent it. And you know exactly what happens next: nothing. Silence. Not because your prospect is rude. Not because they’re not interested. But because you didn’t give them a reason to care._

**“Do you have 5 minutes to catch up?”**

You’ve seen it. You’ve probably sent it. And you know exactly what happens next: nothing.

Silence.

Not because your prospect is rude. Not because they’re not interested. But because you didn’t give them a reason to care.

That’s the brutal truth most businesses ignore: **follow-up is not about reminding—it’s about reigniting.**

## The Tools Aren’t the Problem. Your Use of Them Is. 🛠️🧠

Let’s be clear: CRMs, automation tools, booking links—these aren’t the enemy. But the way most people use them? That’s the problem.

You’re giving people an *out* when you should be giving them a reason to *lean in*.

Let’s take a standard example: “Use this code for 20% off.”

Sounds nice. But it’s passive. It requires *them* to think.

Now try this: “There’s $42.32 sitting in your account right now. Want me to help you apply it before it expires?”

That’s not a message. That’s a **reason**. It reframes the follow-up as a personal favor, not a promotional reminder.

**It’s the difference between sounding like a sales bot and being someone worth replying to.**

## The Real Framework for Follow-Up That Converts 📊🤝

We teach our clients a framework we call **Prompt, Personal, Purposeful**:

1. **Prompt** – What’s the trigger? (Time, behavior, intent signal)

2. **Personal** – What makes this message about *them* and not your quota?

3. **Purposeful** – What’s the clear value in answering right now?

Let’s break that down.

#### **1.** ⏱️ **Prompt**

A follow-up sent three days after a demo is stale. A follow-up triggered *when someone clicks the pricing page but doesn’t book*? That’s urgent. That’s timely. That’s *data-driven*.

Your CRM isn’t just a list of names – it’s a **map of intent signals**. Read it.

#### **2.** 🤝 **Personal**

#### “Hey, just circling back” is lazy. Instead:
“Hey John, last time we spoke you mentioned struggling to close January strong. I just saw something I think can help—mind if I send it over?”

Now you’re *their partner*, not a pesterer.

#### **3.** 🎯 **Purposeful**

Every message needs a why-now. Here’s the test: if your email is easy to ignore, it will be.

Compare these: “Hey, checking in—do you have 5 min this week?”

vs.

“Hey, there’s $120 in unclaimed credit on your account. Want me to help you use it toward \[X\] before it rolls off?”

One’s a chore. The other’s a chance.

## Don’t Just Automate. Humanize the Automation. 🤖✨

You can still use tools—just use them **intelligently**.
Every workflow should ask:

- **What has this person done that tells me what they want?**

- **What message would I send if I only had 10 clients instead of 10,000?**

The irony? Automation works *better* when it’s built to feel manual.

## Real Example: We Turned a 'Link Graveyard' into a Booking Machine 📈📧

One of our clients was sending “Let’s reconnect” emails with a Calendly link.

1.2% conversion.

We rewrote the email using the Prompt/Personal/Purposeful model. Here’s the new version:

“Hey Sarah, I noticed you watched our video but didn’t grab a slot. Totally get it. Just a heads up: we’ve got a new incentive this week, and there’s $200 in credit you can apply if we talk before Friday. Want me to grab a spot for you?”

Same tool. Different strategy. Result? **8.7% response rate.**

Why? Because it **felt human.**

## Here’s What to Do This Week📝✅:

1. **Audit your follow-up messages.** How many of them would *you* ignore?

2. **Build a ‘value language’ bank.** Instead of discount codes, talk in terms of *found money*, *lost opportunity*, or *personal milestones*.

3. **Use CRM data as conversation starters, not just triggers.** Your CRM should whisper what your prospects care about.

You don’t need more follow-ups. You need **better reasons to follow up**.

The tools are only as powerful as the empathy and insight behind them. Stop chasing your prospects. Start making it easy—and irresistible—for them to chase you.

**The choice is yours. Make it count. Growth demands it.📈🏆**
